Production Timeline Template

After your campaign ends, you need a clear timeline for producing and delivering everything you promised. This template shows typical timelines for music products and how the different production steps overlap.

Key insight: Vinyl pressing is almost always the bottleneck. If you are pressing vinyl, start the process as early as possible, even before your campaign ends if you can afford the deposit.

Typical Production Timelines

Production Step Timeline Notes
Recording 2-8 weeks Depends on album complexity, number of musicians, studio availability
Mixing 1-3 weeks Budget 2-3 rounds of revisions per song
Mastering 1-2 weeks Need separate masters for digital and vinyl
Artwork and Design 2-4 weeks Can overlap with recording. Need print-ready files for pressing plant
Vinyl Pressing 12-16 weeks The longest lead time. Order as early as possible
CD Duplication/Replication 2-3 weeks Duplication for small runs (under 500), replication for larger
Merchandise Production 3-6 weeks T-shirts, posters, stickers, etc.
Digital Distribution Setup 1-2 weeks Upload to DistroKid, TuneCore, or CD Baby for streaming
Packaging and Assembly 1-2 weeks Signing, packing, labeling
Domestic Shipping 1-2 weeks USPS Media Mail for vinyl/CDs
International Shipping 2-8 weeks Varies greatly by destination country

Production Timeline (Gantt View)

This shows how production steps can overlap. Each row represents a production task, and the columns represent months after campaign end.

Task Month 1 Month 2 Month 3 Month 4 Month 5 Month 6
Recording Active Active
Mixing Active Active
Mastering Active
Artwork/Design Active Active
Vinyl Pressing Order Pressing Pressing Deliver
CD Production Order Deliver
Merch Production Design Order Deliver
Digital Delivery Upload Deliver
Packaging/Assembly Active

Total estimated timeline: 5-6 months from campaign end to rewards delivered.

This is a typical timeline for an album project with vinyl. If you are only doing digital and CD rewards, you can cut this to 3-4 months.

Buffer Time Recommendations

Always add buffer time to your estimates. Things will go wrong. Here is how much buffer to add:

Production Step Buffer to Add Common Delays
Recording +1-2 weeks Musician scheduling conflicts, re-recording sessions, equipment issues
Mixing/Mastering +1 week Additional revision rounds, engineer availability
Vinyl Pressing +2-4 weeks Plant backlogs, test pressing revisions, shipping delays
Merchandise +1-2 weeks Print quality issues requiring reprints, supply chain problems
Shipping +1-2 weeks Post office delays, address corrections, weather events

Rule of thumb: Whatever timeline you tell your backers, add 30% buffer. If you think it will take 5 months, tell them 6-7 months. Under-promise and over-deliver.

Backer Communication Schedule During Production

When Update Content
Week 1 post-campaign Thank you + detailed production timeline with estimated delivery date
Monthly Production progress update with photos (studio, pressing plant, merch samples)
When digital is ready Send digital rewards immediately (do not wait for physical)
When vinyl/CDs arrive Photo of finished product + shipping timeline announcement
Shipping starts “Rewards are shipping!” update with tracking info
If delayed Honest update explaining what happened and revised timeline. Do this BEFORE the original deadline passes

Pro Tips for Faster Fulfillment

  • Start artwork during the campaign. You do not need to wait until the campaign ends to begin design work
  • Get vinyl mastering done early. Your vinyl master can be ready before the final digital master if needed
  • Order vinyl during the campaign if you are confident you will fund. Some pressing plants allow cancellation within a window
  • Use print-on-demand for merch to avoid overstock and speed up production
  • Deliver digital rewards first. Backers love getting something early, and it buys goodwill while physical items are produced
  • Bundle shipping. If you have multiple physical items per backer, ship them all together in one package
