How to Use This Template

This timeline covers two phases: 12 weeks of pre-launch preparation and 30 days of active campaigning. Every task is designed with musicians in mind, but your project is unique. Here is how to get the most out of it:

  • Customize the timing. If you need more time for recording, shift the earlier weeks. If your social media is already strong, you can compress the audience-building phase.
  • Do not skip pre-launch. Most failed campaigns fail because they did not prepare. The 12 weeks before launch are more important than the 30 days of the campaign itself.
  • Print or copy this template and check off tasks as you complete them. Crossing things off feels great and keeps you on track.
  • Adjust for your platform. Some tasks apply more to Kickstarter or Indiegogo than to Bandcamp pre-orders or equity crowdfunding. Use what fits.

Phase 1: Pre-Launch (12 Weeks Before Campaign)

Weeks 12 to 10: Foundation and Planning

Week 10
  • Finalize your reward tier lineup and pricing
  • Order samples of any physical rewards (test print T-shirts, check vinyl mockups)
  • Create a content calendar for pre-launch social media posts
  • Start posting “something is coming” teaser content on social media
  • Reach out to 3 to 5 friends or fellow musicians who will share your campaign on launch day

Weeks 9 to 7: Content Creation

  • Start planning your campaign video (storyboard, shot list, key talking points)

  • Record teaser clips from studio sessions for social media
  • Shoot your campaign video (keep it under 3 minutes, be authentic)
  • Post behind-the-scenes content from the video shoot
  • Draft 3 to 5 email templates (launch announcement, mid-campaign update, final push)
Week 7
  • Edit and finalize your campaign video
  • Build your campaign page on the platform (draft mode)
  • Upload all images, video, reward descriptions, and campaign text
  • Ask 2 to 3 trusted friends to review the page and give honest feedback
  • Share another teaser on social: “We are getting close to announcing something big”

Weeks 6 to 4: Audience Building and Final Prep

  • Send a “sneak peek” email to your list with a preview of what is coming
  • Reach out to local music blogs, podcasts, and media for potential coverage

  • Finalize your campaign page: proofread everything, check all links, preview on mobile
  • Set your launch date (aim for Tuesday or Wednesday morning)
  • Prepare launch day messaging: email, social posts, texts to your inner circle
  • Create a “day one backers” list of your 20 to 50 most supportive fans, friends, and family

  • Send personal messages to your “day one backers” list telling them the launch date and asking for their support
  • Post a countdown on social media: “Something big is coming in 4 weeks”
  • Release a single or music clip to build excitement
  • Confirm that your video, images, and page all look good on the platform
  • Double-check your budget calculator numbers one more time

Weeks 3 to 1: Final Countdown

  • Schedule launch day social media posts in advance
  • Send a “We launch next week” email to your list
  • Personally reach out again to your inner circle: “Tuesday is the day, can I count on you?”
  • Prepare a press kit (bio, photos, campaign link, one-sheet) for media contacts
Week 1
  • Monday: Final check on everything. Get a good night of sleep.
  • Tuesday (or your chosen launch day): Go live first thing in the morning
  • Immediately send your launch email and post on all social channels
  • Text your inner circle: “We are live! Here is the link.”
  • Respond to every comment and message within the first 24 hours
  • Goal: Reach 30% funded by end of day two

Phase 2: Active Campaign (30 Days)

Days 1 to 5: Launch Sprint

  • Send personal thank-you messages to your biggest supporters
  • Ask early backers to share the campaign with their friends
Days 4 to 5
  • Post a behind-the-scenes video or studio clip
  • Reach out to media contacts with your press kit
  • Engage in relevant online communities (music forums, genre-specific groups)
  • Post a “why I am doing this” personal story on social media

Days 6 to 20: The Middle Marathon

This is the hardest part. Momentum slows, and you have to keep pushing. This is normal. Plan for it.

  • Send a campaign update to all backers through the platform
  • Consider revealing a new reward or stretch goal to reignite interest
  • Go live on Instagram or TikTok: play a song, answer questions, talk about the campaign
Days 11 to 15
  • Share a personal story or reflection on why this project matters to you
  • Highlight individual backers (with permission) or share their comments
  • Release a demo or acoustic version of a track from the project
  • Send a mid-campaign email: “Here is where we stand and what is next”
Days 16 to 20
  • Announce a stretch goal if you are on track to hit your original target
  • Collaborate with another artist to cross-promote (feature swap, joint live stream)
  • Post a “10 days left” countdown with urgency messaging
  • Reach out to any media contacts who have not responded yet

Days 21 to 30: The Final Push

  • Offer a limited-time bonus for new backers (extra track, exclusive content)
  • Ask existing backers to share one more time

  • Post a heartfelt video thanking everyone who has backed the campaign
  • Share the “almost there” number: “We need $X more from Y backers”
  • Personal outreach to anyone you know who has not backed yet but might
  • Go live one more time for a final push
Days 29 to 30
  • Final 48-hour push: “Last chance” messaging across all channels
  • Send a final email to your list
  • Post multiple times on social media (morning, afternoon, evening)
  • When the campaign ends: post a thank-you message regardless of outcome
  • Start planning reward fulfillment (you should have a plan ready before this point)

After the Campaign: Do Not Disappear

Your relationship with your backers does not end when the campaign closes. Here is what to do in the weeks after:

  • Week 1 after close: Send a detailed thank-you update with your production and fulfillment timeline
  • Monthly updates: Keep backers informed about progress (studio updates, production photos, shipping timelines)
  • Reward fulfillment: Ship rewards on time or communicate clearly if there are delays
  • Stay connected: These backers are your most loyal fans. Invite them to your next show, give them first access to new music, and treat them like the partners they are.
